Activation Program
A forward-thinking real estate team that hands its repetitive work to Claude Cowork without losing control of its data.
How Frederic Gingras, a real estate broker at Fred et Max under the RE/MAX Crystal banner, took Openmind’s Cowork Activation Program so his team could use Anthropic’s Claude Cowork every day, within a clear, shared security framework. Already ranked among the top-performing real estate teams, the team is counting on Claude Cowork to amplify its work even further.
The context
In real estate brokerage, every transaction generates a considerable amount of administrative work: documents to gather and file, conditions and deadlines to track, emails to clients, notaries and other brokers. On top of that comes the marketing of each property: listing sheets, posts, comparative analyses.
At Fred et Max, this work rests on a team: assistants who manage the files and partner brokers who support the clients. As on many teams, some had already tried AI, each with their own tricks and no shared framework.
Frederic Gingras saw in Anthropic’s Claude Cowork the tool that could take on a good share of this work, right inside the team’s files and folders, and free up time for what really matters: the clients. It still had to be rolled out properly.
Because a real estate file contains personal information: contact details, financial situation, and identity documents of buyers and sellers. Before giving Cowork access to those files, Frederic wanted to know exactly what could be entrusted to it, what could not, and how to comply with Quebec’s Law 25 day to day.
So Frederic took the initiative: becoming the Cowork go-to person for his team and his partner brokers, the one who answers questions, sets the usage rules and decides what can be connected to the company’s tools, in order to amplify his team.
The tool: Anthropic's Claude Cowork
Cowork reads, files and drafts documents directly in the folders you open to it on your computer.
Listing sheets, emails, spreadsheets, presentations: Cowork delivers documents ready for review, not just answers to copy and paste.
With skills and the CLAUDE.md file, the team passes its tone, brand guidelines and methods on to Cowork once.
Cowork’s scheduled tasks automate recurring follow-ups, such as reminders of a file’s deadlines.
Through its connectors (MCP), Cowork can access Microsoft 365 and company systems, once access has been approved.
Powerful as it is, Cowork needs a framework: security settings, data classified by sensitivity, and human review of deliverables.
It is precisely this power that makes training necessary: an agent that can act in your files and systems must be rolled out methodically, because otherwise everyone risks heading in a different direction.
The solution
The real risks of agentic AI and the responsibility that comes with access. A tour of Cowork’s security settings, without enabling anything.
Getting started with Cowork: the work hub, skills and the CLAUDE.md file to pass the team’s standards on to it.
Classifying information by sensitivity, Law 25 included, the six security reflexes and Cowork’s scheduled tasks.
Structuring your hubs in Cowork, managing several files without spreading yourself thin, and using Openmind’s internal tools.
Connecting Cowork to Microsoft 365 and company tools, approving access, and closing off what needs to be closed.
Every concept is demonstrated live in Claude Cowork, then applied the same day on the participant’s real files. The rule that guides the whole week: “Having access doesn’t mean having the right.”
Honestly, this training gave me nothing but concrete takeaways. It also opened my eyes to several aspects I hadn’t even thought of, starting with everything that could be delegated without even realizing it. Today, the whole team starts from the same foundation with Cowork, and I’m certain they are well equipped when it comes to security.
The Cowork Activation Program turns individual experiments with AI into a secure team practice with Anthropic’s Claude Cowork, grounded in each organization’s real files.
Designed and led by Openmind’s practitioners, who first rolled out Cowork in their own teams, the Program is for the person who will bring Cowork into their organization. No technical skills are required.
